Effective communication is the cornerstone of organising corporate events. In this sense, protocol — as a set of rules that establish how to act in such organisation — is the essential communication tool.

On the other hand, logically, depending on the type of event, the protocol will be different. Nevertheless, in the following lines we offer some general brushstrokes on protocol in the organisation of corporate events. Take note if you want to boost your business!

1. Define the event's objectives

Whether it is a trade fair, congress, press conference or conventional meeting, it is essential to determine the date, time and place of the occasion.

2. Invitations: the prelude to the celebration

Bear in mind that outdoor events are more informal than those held in enclosed spaces. However, to offer the best possible image, it does no harm to hand out business cards or passes, whether physically or electronically.

3. Communicate the event with enough time

To avoid last-minute cancellations and ensure that all or the vast majority of our guests attend, it is advisable to notify attendees at least fifteen days in advance, whether through online tools, by ordinary mail or via email.

4. Design the itinerary and inform about it

Describe in the invitations the acts or interventions that will take place at the event, as well as the time scheduled for each of them — including any live entertainment.

5. Attention to detail during the sessions

Take care of every last detail, starting by choosing a host to open and close the event, with careful event production behind the scenes. It is also important to ask your guests to arrive a few minutes before the start of the corporate meeting to validate accreditations, seat attendees, etc.

6. Bet on complementary services

Whether it is a formal or informal meeting, the catering and the banquet, respectively, add extra quality to the event — as do the rest of our event services.

7. Use multimedia material

To take a qualitative leap on a communication level, be sure to rely on multimedia material such as videos and photos in each presentation.

8. Crown the evening with thanks

To close the event, thanks for attendance are a must if we want to achieve positive feedback among the guests.
