MWC 2027 in Barcelona: Operating guide for planning a corporate side event

Overview of a large venue setup for a MWC Barcelona 2027 corporate side event and gala dinner.

Last updated: October 2026. Written by Borja Llopart, CEO and founder, CREA Group Events & DMC.

MWC 2027 Barcelona runs Monday through Thursday, March 1-4, 2027, at Fira Barcelona Gran Via, and the 2026 edition drew nearly 105,000 attendees from 207 countries and territories. For any company hosting guests that week, the working window is longer: stand build-up starts February 11, most delegations land over the weekend, and Sunday, February 28, is already a peak night. An MWC side event is any client dinner, reception, press event, product demo or private meeting an exhibitor hosts in Barcelona away from its stand during MWC week, with its own venue, guests, transport and catering. Below: the operating calendar, the areas that saturate each day and when to lock each service.

When is MWC 2027 Barcelona, and what happens before and after the show days?

MWC 2027 takes place from Monday, March 1, to Thursday, March 4, 2027, at Fira Barcelona Gran Via (Av. Joan Carles I, 64, L'Hospitalet de Llobregat), according to GSMA, the organizer. The halls open from 8:30 a.m. to 7 p.m. Monday through Wednesday and close at 4 p.m. on Thursday. For a side event, plan around the full window: from build-up on February 11 to dismantling on March 9.

Date (2027)

At Fira Gran Via

What it means for your side event

February 11-27

Stand build-up, by stand size and access slot

AV, rigging and production crews are committed to the halls. Most landmark venues for side events were already booked between September and December 2026

Saturday, February 27

Final installation work

Main arrival day at El Prat, plus rehearsals and last setups

Sunday, February 28

Last pre-show day: no vehicle movements, rigging or work at height in the halls

Arrivals, the official welcome dinner and flagship product launches timed for Monday's headlines. One of the most demanding nights of the week

Monday, March 1

Day 1, opening keynotes, 8:30 a.m. to 7 p.m.

Opening and welcome dinners, networking receptions, cocktails and afterworks: the most requested evening

Tuesday, March 2

Day 2, 8:30 a.m. to 7 p.m.

Still high demand. It takes the dinners that could not happen on Monday, for lack of venues or because key guests were already committed

Wednesday, March 3

Day 3, 8:30 a.m. to 7 p.m.

The quietest evening: internal team dinners, closing dinners and smaller groups. Departures start from midday

Thursday, March 4

Last day, halls close at 4 p.m.

Departures continue through the afternoon and evening. Some equipment starts coming out after closing

March 5-9

Structural dismantling

Crews, trucks and waste, reuse and recycling logistics stay busy

Why is Sunday, February 28, already a peak day?

Because for hosts the congress starts before the doors open. In CREA's transport operations, more than 90% of the scheduled MWC fleet is typically running by Sunday evening, since most delegates land on Saturday and Sunday to be ready on Monday morning. The same night brings the official welcome dinner and the week's first major product launches.

That 90% figure comes from CREA's own client programs, not from a GSMA estimate of total attendance. The welcome dinner is the institutional opening of the week: on Sunday, March 1, 2026, King Felipe VI attended the gala dinner at the Museu Nacional d'Art de Catalunya (MNAC) together with the Spanish prime minister and the president of Catalonia (EFE, March 1, 2026).

Large technology companies use Sunday to present flagship devices to press and analysts, so the news leads Monday's front pages. GSMA counted nearly 2,600 journalists and industry analysts at MWC26, and Sunday launches compete for that same audience, the same production crews and the same venues. In our experience, major presentations are often staggered to avoid competing for the same media.

A Sunday event can work very well, but plan it as one of the busiest nights of the week, not as a quiet alternative to Monday.

Which evenings are most in demand for client dinners during MWC?

Monday and Tuesday. By then most senior guests have arrived, business conversations are underway and delegations are still in town, so these are the evenings for opening dinners, executive networking and receptions. Tuesday also takes the dinners that could not fit on Monday. Wednesday suits internal dinners, and Thursday is shaped by departures.

The competition is not only for venues. Senior executives receive several invitations for the same few nights, and once they accept one, they rarely move. A company can find a good venue and still miss the guests it most wanted to see. A late invitation can reach a guest who has already said yes to someone else.

Wednesday is the quietest evening, though not an empty one. It works for internal dinners, closing dinners for the people who ran the stand and smaller groups with less senior profiles. Some senior guests start leaving from Wednesday midday, and departures continue until Thursday night, after the halls close at 4 p.m.

For events built around international decision-makers, let guest availability set the date before venue availability does.

Why does MWC strain every venue and supplier in Barcelona?

Because demand lands on one week and one seniority level. GSMA's MWC26 closing release counted nearly 105,000 attendees and 2,900 exhibitors, sponsors and partners; 17% of attendees were C-suite and 45% director level or above. Those are the guests every exhibitor invites to dinner on the same few nights.

Two more factors add pressure. GSMA's Ministerial Programme convened 188 delegations and 54 ministers in 2026, and the co-located Talent Arena, organized by Mobile World Capital Barcelona, drew more than 25,000 attendees to Fira Montjuïc, a second pole across the city.

Security adds a third. Both Fira de Barcelona sites (mainly Gran Via, but also Montjuïc), the official hotels and the venues of official GSMA events, such as the Sunday welcome dinner or the official lunch on Monday, are closed off by perimeters guarded by the police. Vehicle access requires special passes and can include inspections with sniffer dogs and zigzag barriers.

Booking late costs you on three fronts:

➝ The venue: few landmark spaces combine the right capacity, technical feasibility, service and access, and they go first.

➝ The date: a company targeting Monday or Tuesday may be pushed to Sunday or Wednesday, which changes invitations, speakers, transport and the whole program.

➝ The audience: the guests you wanted may already be committed elsewhere.

For how the 2026 edition worked for corporate hosts, read our MWC 2026 insights for corporate events. If you already have dates and a guest count, our event agency in Barcelona can check venue, transport and catering against the same night.

Which Barcelona areas are saturated during Mobile World Congress, and when?

Saturation follows the show's daily rhythm: the Fira Gran Via area and its access roads from 7:30 to 10 a.m. and from 5 to 8 p.m., central Barcelona from 8 p.m. to midnight, and El Prat on arrival days (Saturday and Sunday) and departure days (Wednesday and Thursday). Choose a venue against that pattern, not just by distance.

➝ Fira Gran Via, Gran Via and Plaça Europa (7:30 to 10 a.m. and 5 to 8 p.m.): the access roads to the exhibition entrances fill first, matching opening and closing times. Private cars and group transfers need particular care here.

➝ Plaça Espanya and Fira Montjuïc: a second pole, where Talent Arena drew more than 25,000 attendees in 2026. A guest moving between Montjuïc, Gran Via and a dinner has a harder evening than one who only attends MWC.

➝ Central Barcelona (8 p.m. to midnight): Passeig de Gràcia, the Old Town and the central stretches of Diagonal and Gran Via fill with delegates and vehicles. A venue that looks central on a map may sit on a pedestrian street, have no coach access or allow only tight loading.

➝ El Prat: arrivals peak on Saturday, Sunday and Monday morning; departures run from Wednesday midday to Thursday night.

➝ Security perimeters: around official hotels and GSMA venues, streets can close at short notice.

Assess every venue against your guests' real day, not against its distance to the center or to Fira.

How far ahead should you book venues, coaches, catering and AV for MWC 2027?

For MWC 2027, CREA recommends securing private venues for 50 to 400 guests between September and December 2026, chauffeured cars from October, coaches from November, and catering, AV and staff between December 2026 and January 2027. Hundreds of exhibitors want the same landmark venues, so later confirmation leaves fewer options in the area you want.

These are CREA's recommendations based on MWC editions since 2008, not official GSMA deadlines or availability guarantees. Lead times vary by project.

Planning in January or February is not necessarily too late, but the method changes. Instead of designing the ideal event and then looking for a venue, start from the spaces that are genuinely available and build the concept around them, adjusting date, format, capacity or production. A local partner can find realistic alternatives fast. It cannot recreate availability that no longer exists. If your program needs screens, stage and crew, plan the event production together with the venue, not after it.

Need a demo room, a dinner and transfers for the same night?

On the Sunday before one recent MWC, CREA ran the transfers and all on-site staff for a global product launch watched live by more than 1,000 guests, VIPs and journalists: hosts, access control, information points, cloakroom, meet and greet, product experts and coordinators.

What should you check before you confirm a venue for an MWC event?

Check it in person or through recent, unretouched photos, and time the real trip from Fira Gran Via at the hour your guests will leave. During MWC, discovering late that a venue looks different or sits further away leaves no room to switch, because comparable alternatives are already booked.

Some venue photos are heavily retouched or generated with artificial intelligence. Lighting, scale and decor can look far better online than in the room, and closing that gap may require production budget you had not planned.

Location descriptions can mislead too. A castle or estate advertised as "near Barcelona" may be more than an hour away by road, toward the Costa Brava. That can be fine for a standalone retreat. For an evening event with executives coming out of Fira Gran Via after a full day, it rarely is.

1️⃣ Actual condition. Look at recent, representative photos and, where possible, do a site inspection.

2️⃣ Real trip time. Time the trip from Fira Gran Via and from the main hotels at the hour of your event.

3️⃣ Vehicle access. Confirm coach access, drop-off points, parking and any restriction.

4️⃣ Technical feasibility. Review power, connectivity, AV, load-in access and permitted working hours.

5️⃣ Operational fit. Confirm capacity, catering, accessibility, service level and plan B.

A venue is only right for MWC if it also works for the logistics of the evening.

How do you move guests around Barcelona during MWC week?

Plan transport as part of the program, not as a list of vehicles. During MWC week taxis are scarce from Sunday to Thursday, ride-hailing apps suffer delays, cancellations and surge pricing, and Metro and FGC trains are packed from 7 to 10 a.m. and 5 to 8 p.m. For guests with fixed times, pre-booked coaches and chauffeured cars are the reliable option.

What CREA runs. In current editions, CREA coordinates about 150 vehicles a day during MWC, and some past editions required 300 to 400 vehicles operating at the same time. These figures cover CREA's own transport programs, not every vehicle working at MWC.

Times measured in previous editions (CREA operations, not guarantees for 2027):

➝ El Prat to Fira Gran Via (12 km, 7.5 miles): 45 to 60 minutes between 7 and 10 a.m.

➝ Taxi rank at Fira Gran Via between 5 and 8 p.m.: waits of more than an hour.

➝ Taxi rank at El Prat on Saturday, Sunday and Monday morning: 30 to 45 minutes toward central Barcelona.

Public transport. The L9 Sud metro line links both airport terminals with the Fira area, and FGC trains connect Plaça Espanya with Europa | Fira. It works for stand staff and delegates traveling on their own, although at peak hours passengers often let several trains go by. It does not work for executives with back-to-back commitments.

Chauffeured cars are not automatically faster. What they give you is control: a car on standby with an English-speaking driver adapts to agenda changes, confidential movements and last-minute meetings.

Coaches. Capacity depends on more than the number of vehicles in Barcelona. Drivers' legal hours, rest periods and existing contracts decide what is really free: a coach that is not carrying passengers at a given moment is not necessarily available.

Moving 100 or more guests from Fira to a dinner needs a written plan covering:

➝ Boarding points, within the access rules around Fira.

➝ Number, capacity and type of vehicles.

➝ Passenger lists and identification.

➝ Hosts or coordinators at boarding.

➝ Departure windows and vehicle sequencing.

➝ Communication between dispatch, drivers and the event team.

➝ What happens with late or missing guests.

➝ A contingency for delays or access restrictions.

We run event transportation in Barcelona as part of the same program, so transfers follow the running order of the evening.

What changes when your guests fly in from the US or Asia?

The arrival day and the time difference shape the plan more than the guest list. During MWC, Barcelona is 6 hours ahead of New York, 9 ahead of San Francisco and 7 behind Beijing, so an evening event lands at a very different moment of each group's day. Collect diets, languages and protocol in the RSVP form, not on the night.

➝ Arrivals: overnight flights from the US land in the morning and can arrive up to two hours early or late. A taxi or app ride does not wait. A CREA driver tracks the flight overnight and is in the arrivals hall when it lands.

➝ Languages: English and Spanish are standard. German, French, Russian or Chinese can be arranged on request.

➝ Diets and protocol: allergies, intolerances and protocol needs are collected with the RSVP, and CREA sends the caterer the consolidated list with final numbers 15 days before the event.

➝ One plan does not fit every guest: executives, journalists, technical teams and internal staff need different transfers and schedules.

For Chinese delegations, see our MWC services for Chinese tech companies.

📌 For US planners: MWC runs before the US switches to daylight saving time on March 14, 2027, so the gap stays at 6 hours to New York and 9 to San Francisco all week. Treat arrival day as a transfer day and keep the first evening light; client dinners in Barcelona usually start around 9 p.m. Early March falls in the airlines' winter schedule, when fewer US cities fly nonstop to Barcelona than in summer: check routes in our guide to direct flights to Barcelona. How do you protect an unreleased product at an off-site MWC event?

Agree a written chain of custody before the event: who moves the device, where it is kept overnight, which venue staff can enter the room and what the photo rule is for guests and suppliers. Ask the venue and your DMC (destination management company, the local partner that runs logistics on the ground) to confirm each point in writing.

➝ Transport and storage: the product usually arrives in Barcelona several days before MWC and is kept in secure storage under 24-hour guard. Hours before the event, it travels in a vehicle used only for the product, and only once the setup is 100% complete.

➝ Access and confidentiality: a locked room at the venue with a log of who holds the key, and NDAs signed by everyone with access, including cleaning, catering, technicians, photographers and event staff.

➝ Phones and photos: a clear rule on guests' phones, stated in the invitation. Some clients restrict phones in the hours before the reveal to prevent leaks.

Large technology companies arrive with their own launch protocols. A local DMC's job is not to replace them but to apply them and make every local supplier comply, from 24-hour security to confidentiality agreements and briefings. CREA has done this for international launches with confidential products, restricted access and detailed security procedures. Every supplier in a confidential launch needs to know the security rules that apply to their role.

Which permits apply to an MWC side event in Barcelona?

It depends on what you install and where. A dinner inside a private venue usually follows the venue's own rules, but a branded installation, a street activation or a road closure needs a municipal permit, and in Barcelona those procedures are slow and document-heavy. Start the feasibility check between October and December 2026.

Depending on the project, approval may be needed for:

➝ Temporary structures or installations in public space.

➝ Brand activations and promotional actions.

➝ Road or sidewalk occupation.

➝ Vehicle access and loading.

➝ Noise, lighting and public safety.

➝ Structural loads of technical installations.

➝ Heritage restrictions at historic venues.

➝ Filming or photography that needs specific authorization.

Applications ask for far more than the applicant's details: weights, floor plans, schedules, dates, noise and visual impact, and the effect on pedestrian flow. CREA works with the client's event, legal, procurement and security teams to fit the idea into the venue's and the city's requirements, adapting the installation or the technical specifications where needed. Local coordination does not remove the rules; it keeps the project inside them without losing the idea.

What happens when a strike, a protest or a snowfall hits MWC week?

Assume something will move. Across MWC editions, CREA has handled snowfall in Barcelona, public transport strikes, industrial action affecting airport services and demonstrations that closed roads, and in 2026 GSMA noted that the edition went ahead despite global travel disruptions. The plan that works is agreed before the week, with named decision-makers.

➝ Identify the risk and its impact: a demonstration needs a new route; a transport strike raises demand for private vehicles; airport action changes arrival times; bad weather affects roads, flights and outdoor setups.

➝ Agree the contingency in advance: alternative routes, revised arrival procedures, backup suppliers, extra staff and who has authority to switch.

➝ Monitor and pass information on: coordinators track roads, transport and access points, and the update has to reach drivers, hosts, technical teams and the client.

➝ Reinforce or adapt: some situations need extra vehicles or staff; others are solved by new schedules, different meeting points or a targeted briefing.

A contingency plan only counts if the team on the ground can run it.

Who can organize a client dinner in Barcelona during MWC?

A DMC or event agency with its own office and suppliers in Barcelona, hired before MWC. Ask every candidate for three things in writing: the venue held for your date, transport sized to your time slots and a plan B if the venue falls through. The earlier you ask, the wider the choice of venues still available.

CREA Group Events & DMC has worked from its own offices in Barcelona and Madrid since 2007, has supported companies at MWC since the 2008 edition, holds Biosphere certification since 2019 and is a member of SITE, ADMEI, MPI and PCMA.

The year after the Sunday launch mentioned above, CREA produced one of the largest corporate evenings of the congress: 600 guests at a landmark Barcelona venue for a global smartphone manufacturer. The team handled the venue search, catering, staffing, entertainment, technical rider, stage management and decor. If your program combines several venues, suppliers and fixed times, a Barcelona event agency with its own team on the ground is worth it.

Which planning decisions cost companies their MWC guests?

Most problems come from deciding in the wrong order: the venue before the date, the date before the guests, the vehicles before the program. These are the seven we see most often around MWC, each with its fix.

➝ Booking the venue before confirming the date that matters: the venue may be free on Wednesday when your guests are only in town Monday and Tuesday. Validate audience and date first.

➝ Trusting the venue's website: retouched images set expectations the room cannot meet. Use verified information and a site visit.

➝ Choosing by distance alone: "near Barcelona" can mean over an hour in traffic. Check the real route at the real hour.

➝ Sending invitations late: senior guests fill their week early. Treat invitations as part of early planning.

➝ Underestimating transport: booking vehicles does not solve boarding, access, driver hours or late guests. Plan it as one program.

➝ Treating Sunday as a quiet day: arrivals, the official dinner and launches make it a peak night. Include it in the plan from the start.

➝ Leaving contingencies for later: a strike or a road closure hits several parts of the program at once. Agree roles and alternatives in advance.

Frequently asked questions about MWC 2027 side events

When is MWC 2027, and what should I book first for a corporate side event?

MWC 2027 runs March 1-4, 2027, at Fira Barcelona Gran Via. Book the venue first, ideally between September and December 2026 for 50 to 400 guests, and confirm the date your key guests can attend before you sign. Transport comes next: chauffeured cars from October and coaches from November. AV, catering and staff follow between December 2026 and January 2027.

Which Barcelona areas are saturated during Mobile World Congress?

The Fira Gran Via area, Gran Via and Plaça Europa at opening and closing times (7:30 to 10 a.m. and 5 to 8 p.m.), Plaça Espanya and Fira Montjuïc, and in the evening central Barcelona: Passeig de Gràcia, the Old Town and the central stretches of Diagonal and Gran Via. El Prat is busiest on Saturday and Sunday for arrivals and from Wednesday for departures.

Can I hold an MWC side event on Sunday, February 28, 2027?

Yes, and it can work well for product launches and welcome events. But Sunday is already one of the busiest nights: most delegations land that weekend, the official welcome dinner takes place, and major brands present flagship devices to the press. In CREA's operations, more than 90% of the scheduled fleet is running by Sunday evening, so book venue and transport as early as for Monday.

What happens if I start planning an MWC event in January?

You will find fewer venues, less flexibility on dates and tighter supplier availability, and some of your target guests may already have accepted other invitations. The fix is to change the method: start from venues that are genuinely available, build the concept around them and adjust date, format or capacity. Decide within days, not weeks.

How should I move 100 or more guests from Fira Gran Via to a dinner?

With pre-booked coaches and a written boarding plan: permitted pickup points, vehicles and capacity, passenger lists, hosts at boarding, departure windows and a procedure for late guests. Allow for congestion between 5 and 8 p.m., when taxi waits at Fira have exceeded an hour in previous editions. Taxis and ride-hailing apps are not reliable for a group with a fixed start time.
