If you are planning group transport to Fira Gran Via during ICE Barcelona 2027 (January 18-20), budget about 20-25 minutes by coach from El Prat airport off-peak and 30-40 minutes in the morning rush. Downtown hotels sit 35-50 minutes away at peak. These are the ranges our team plans with for exhibitors running ICE Barcelona 2027 side events, and they hold on a normal show weekday. The hard part is not the distance. It is 6:00 PM, when the halls empty at the same time. Below you will find times by slot, when a coach beats the metro, what the Fira requires from vehicles, and how to size a fleet for 50 to 300 guests.

By coach, El Prat to Fira Gran Via takes about 20-25 minutes off-peak and 30-40 minutes between 7:30 and 9:30 AM on a show weekday. The road distance is 12 km (7.5 mi) via the C-31. What stretches the day is everything around the drive: baggage claim, passport control and the evening exit from the venue.

The drive is only part of the timeline. These are the blocks that do not show up on a map:

Plan the evening return as its own operation, not as the morning run in reverse.
For small groups with light bags, yes. L9 Sud connects both airport terminals with the Fira and Europa | Fira stations, which serve the venue directly, and trains run about every 7 minutes. For 20 or more people with luggage, or for client guests, a coach is easier to control: the metro gives you no single departure time and no headcount.
In our experience the ride from T1 to Fira station is roughly 20 minutes. With bags and a group moving at the pace of its slowest member, count 35-45 minutes door to door.
Tickets are the usual trap. According to TMB, not every travel card is valid at the Aeroport T1 and T2 stations: the popular 10-ride T-casual does not work there. Anyone arriving with the wrong ticket has to buy the Airport ticket before they can exit. It costs €5.90 (about $6.80 at €1 = $1.15, September 2026). If you send stand staff by metro, buy the right tickets before they land.
If your group is larger than one metro car can absorb, our event transportation team plans coach and minibus transfers by time slot, with a host on each vehicle.
Match the vehicle to the headcount and the time slot, not only to the budget line. A 50-seat coach moves a full wave in one trip. Minibuses and vans give you flexibility for staggered stand shifts. Taxis and ride-hailing work for two or three people off-peak, never for a scheduled group at show close.

Do not build a group plan on ride-hailing. A bill in the Catalan Parliament, which passed its first debate on March 11, 2026, would progressively cut VTC (ride-hailing) licenses in the Barcelona metro area. It includes temporary exceptions for major events such as MWC. Check its status in December. Barcelona's metro area has more than 10,500 taxis, according to Fira de Barcelona, but at 6:00 PM on an ICE day they are all heading to the same ranks.
It depends on what the vehicle does. Any exhibitor or contractor vehicle that needs a loading bay during ICE must be pre-booked on the Traffic Booking System run by Kuehne + Nagel, the show's official logistics partner. Unbooked vehicles are turned away. Passenger coaches follow the drop-off plan the venue sets for each edition.
What the ICE contractor zone sets out today:
➝ Loading bays (stand materials, AV, graphics): pre-booking on the K+N Traffic Booking System, no exceptions
➝ Build-up and breakdown: every person entering the halls registers in advance for a Build Up and Breakdown Pass and wears the wristband on site
➝ Parking: tickets are booked through the Fira Store
➝ Passenger coaches and minibuses: drop-off bays and any vehicle pass for ICE 2027 [DATO POR VERIFICAR]
The mistake we see most often: a van with booth graphics sent on the morning of build-up without a slot, then waiting outside while the stand builder bills by the hour.
Plan one full wave per time slot and do not count on a second rotation in the morning. At 35-50 minutes each way at peak, a single coach cannot do hotel, Fira, hotel and Fira again before doors open. Size the fleet for the peak slot, then reuse part of it off-peak for stand shifts and dinners.

Two staffing rules go with the fleet. Put one host per coach with the passenger list. Put one dispatcher at the Fira bay who knows which vehicle leaves when. If transport is only one piece of a bigger program, our event agency in Barcelona runs it together with venues, catering and staff.
Moving more than one wave a day during ICE?
In a back-to-back series we ran in Barcelona, five identical editions of the same corporate event brought more than 1,700 attendees in 20 languages over six days. Each day one group left after the plenary while the next arrived and joined that same afternoon. Transport, hotels, accreditation and hospitality ran under a single operations lead. Attendance reached 99.4% of RSVPs.

Treat arrival day as a transfer day, not a booth day, if your team flies overnight.
Allow extra time at El Prat passport control on the first entry. The EU Entry/Exit System (EES) now registers fingerprints and a facial image the first time a US passport holder crosses a Schengen border.
ETIAS was not in operation as of September 30, 2026. US travelers will need this pre-travel authorization once it launches. Check the official ETIAS page before booking.

Dinners in Barcelona usually start around 9:00 PM, so a 6:30 PM show-close transfer still leaves time for a hotel stop.

About 20-25 minutes by coach off-peak and 30-40 minutes between 7:30 and 9:30 AM on a show weekday, over 12 km (7.5 mi). Add 45-75 minutes from landing to curb for a non-EU flight with checked bags, plus 10-15 minutes to board a full coach. The metro (L9 Sud) takes roughly 35-45 minutes door to door with luggage.
For 20 or more people on a fixed schedule, a charter coach from the hotel with one host on board. It gives you one departure time and a headcount at the door. Use minibuses for staggered stand shifts and the L9 Sud metro for small teams with light bags. Avoid relying on taxis at show close, when rank waits reach 20-40 minutes.
Vehicles that use the loading bays do. During ICE, every exhibitor or contractor vehicle must be booked in advance on the Traffic Booking System of Kuehne + Nagel, the official logistics partner, or it is refused access. Parking tickets are bought through the Fira Store. Passenger coaches use the venue's drop-off plan, confirmed each edition.
Individually, probably yes. For a group, it is not a plan. A bill in the Catalan Parliament would progressively reduce ride-hailing (VTC) licenses in the Barcelona metro area, with temporary exceptions for major events. Check its status close to the show and book taxis, vans or minibuses for anything scheduled.
CREA's operational recommendation, not an ICE deadline: for groups of 100 or more, book 3 to 4 months ahead, so September or October for a January show. Transport capacity is tighter during major trade-show weeks, so early planning gives groups more flexibility. Minibuses and vans can be confirmed later, but lock the peak-slot fleet first and adjust numbers as your guest list firms up.
